Job Overview

 

Schedule: 10am-6:30pm/Monday-Friday

 

In-Office Requirement: 3 days in office and 2 days remote

 

The Parts Coordinator is responsible for managing the facilitation and inventory control of parts from suppliers to the on-staff maintenance technicians. The position is also responsible for managing the MRP process of replacing stock parts, working closely on a day-to-day basis with the asset care planner ensuring all parts, components for planned and scheduled work are in stock and available for kitting in advance of the job start date. The Parts Coordinator is also responsible for receiving and processing all parts requests and returns, including the movement of parts from one inventory location to another. The Parts Coordinator will cross-reference parts between the manufacturer and suppliers to ensure procurement specified vendors are being utilized as a part of the Maintenance System cost and quality control Strategy. The Parts Coordinator will also provide routine cycle counting of parts inventory and follow Corporate Accounting guidelines.

Duties & Responsibilities

  • Manages the organization and layout of the storeroom location(s), while following all corporate storeroom policy, finance, and CAAS requirements related to parts room management
  • Working with internal stakeholders to ensure secure storeroom practices for inventory accuracy
  • Running negative quantities report and researching findings 
  • Ensuring kit parts are on-hand for scheduled work
  • Validates the SAP item master for standardized short and long descriptions, min, max, reorder points, safety stock levels, stock vs non-stock, costs, where used, bin locations, OEM cross-references, refurbish status, and lead times
  • Makes recommendations regarding the stocking of materials based on usage and lead times, and adjusts inventory levels to minimize carrying costs, and works with management to maintain a critical spares list and associated PM program for rotating spare parts
  • Ensures the first-in-first-out approach for materials to ensure that shelf life is not exceeded and manages and monitors obsolescence from removed assets, OEM discontinuing manufacturer of spares
  • Works with engineering, reliability engineering on parts standardization to minimize the number of SKUs stocked
  • Works with other CCCI parts coordinators and maintenance system personnel to standardize business processes across all plants related to spare parts and materials. Uses the STO (Stock Transfer Order) when needed and communicates with department managers and Inventory Control Team on inventory availability and issues
  • Receives goods receipts, stages work order parts and puts away stock parts. Runs MRP reports and research any issues and runs open PO reports and follows up with vendors 
  • Maintains all parts coordinator-related key business indicators and reviews with the maintenance manager and maintenance team on a routine basis through the completion of routine inventory cycle counts and quarterly and semi-annually full inventory count 
  • Works closely with procurement to ensure all vendor contracts and agreements are being followed tracks vendor performance against established standards. Report out annual for ISO assessment and to procurement team when requested, while evaluating opportunities with procurement for vendor-managed, consignment, offsite vendor approaches to minimize storeroom SKUs and stock levels 
  • Processes web cycle invoices, credit card monthly, monthly PO contracts, and MRO orders and orders miscellaneous parts and materials daily 
  • Works within the maintenance system guidelines to sustain continuous improvement within the maintenance function, while evaluating, scrapping, and maintaining current parts in inventory (approximately 30 min per day) or as needed and obtains RMA and return parts and refurbished parts as needed 

Knowledge, Skills, & Abilities

  • Ability to lift up to 50 lbs on a routine basis
  • Willingness to obtain forklift certification and operate a forklift
  • Ability to work flexible hours to include weekends and holidays should operating conditions require

Minimum Qualifications

  • High school diploma or GED
  • Knowledge acquired through 1 to up to 3 years of work experience
  • 2 years inventory control management experience
  • Adequate knowledge and experience with Microsoft Office (Word, Excel, Outlook) 
  •  Ability to collaborate and work well with others
  • Ability to work independently or in a team-driven setting
  • Basic decision-making skills
  • Using independent judgment
  • Dedication to continuous improvement

Preferred Qualifications

  • 2 years of education beyond high school in college or technical school
  • Technical experience in manufacturing equipment repair or parts is preferred 
  • Shipping and receiving experience is desired
  • Attention to detail
  • CMMS Required
  • SAP Experience preferred
