Job Overview
The Director, Assistant, serves as a trusted strategic partner and operational leader to an Executive Leadership Team (ELT) member. The role enables executive effectiveness by translating priorities into action, coordinating cross-functional work, strengthening stakeholder relationships, and ensuring disciplined follow-through across the business.
This role combines executive operations, relationship management, and initiative stewardship to extend the Executive Leader’s capacity and impact. It brings structure to priorities, connects the right stakeholders, and maintains momentum across commitments that span the organization.
The Director is responsible for coordinating the office’s daily operations, workflow, events, and strategic projects. The role develops executive-level content, manages competing priorities, and provides the structure and coordination needed to advance the Executive Leader’s agenda.
Duties & Responsibilities
- Strategic Partnership and Executive Enablement: Serve as a trusted advisor to the Executive Leader by anticipating needs, identifying blind spots, surfacing risks and opportunities, and providing well-informed strategic perspective. Act as a thought partner and sounding board in shaping priorities, decisions, and direction.
- Stakeholder and Relationship Management: Develop and coordinate engagement strategies that strengthen relationships with internal and external stakeholders, including ELT members, brand partners, local leaders, and customers. Enable proactive outreach, align stakeholders around key priorities, and help steward high-value strategic relationships.
- Executive Communications and Visibility: Assist the Executive Leader with general communications and follow-ups, and maintain the Executive Leader’s visibility through market visits, key engagements, birthdays, and work anniversaries.
- Project and Initiative Stewardship: Establish visibility and maintain momentum across priority cross-functional projects and initiatives. Track commitments and timelines, identify risks and dependencies, escalate barriers, and intervene when work is off track while preserving accountability with the operational owners.
- Meeting and Event Preparation: Lead preparation for internal and external meetings, including internal board meetings when appropriate, customer, brand-owner, and industry sessions. Ensure objectives, content, participants, and decision points are aligned in advance. Represent the Office of the Executive Leader when appropriate, document key decisions and actions, and drive timely follow-through.
- Calendar and Workflow Management: Directly manage and strategically prioritize the Executive Leader’s calendar to protect time for the highest-value business and relationship priorities. Anticipate critical milestones, resolve scheduling conflicts, and coordinate recurring check-ins, reviews, and forward-looking planning sessions.
- Event Planning and Sponsorship Activation: Lead the end-to-end planning and execution of internal and external events, including leadership offsites, customer experiences, employee team-building activities, and sponsorship activations. Own the ticketing process and improve systems associated with sponsored assets. Align objectives, stakeholders, logistics, and follow-up to deliver a high-quality experience and achieve the intended business outcome.
- Success in this role is demonstrated through improved executive readiness, disciplined follow-through on strategic commitments, effective stakeholder engagement, and reliable coordination of the Executive Leader’s priorities, meetings, and major events.
