Role Details

  • Work Location – Brampton, ON
  • Shift/Hours  – Monday to Friday
  • The full base salary range for this position is from 54,000.00 - 60,000.00 annually. The starting base salary offered is based on market location and may vary depending on job-related knowledge, role complexity, skills, experience, and internal equity.

About This Opportunity

The Administrative Coordinator plays a pivotal role in supporting the efficient operations of our Brampton Market Unit Sales and Distribution Centre.  As the Administrative Coordinator, you’ll contribute to various critical functions, ensuring seamless processes and effective communication.

Responsibilities

  • Act as the Market Unit site champion and steward of Customer Support Ticket (CST) performance using Power BI and Salesforce reporting.
  • Oversee purchase order (PO) coordination, creating and tracking accurate purchase orders for Brampton Market Unit teams and the Central Operating Unit.
  • Manage invoice submissions, coding, follow-up, and partner billing submissions, ensuring accuracy and timeliness.
  • Preparation and submission of expense reports in compliance with company policies.
  • Prepare meeting materials including agendas, presentations, and handouts.
  • Attend bi-weekly Site Leadership meetings, maintaining agenda, action items, and meeting minutes.
  • Manage Price Authorization Tool (PAT) inputs and maintains promotional pricing accuracy and compliance.
  • Process select Customer Marketing Agreement (CMA) rebate requests on a quarterly basis.
  • Track, rank, and publish Brampton Leadership Team (BLT) Cup results using Margin Minder, Power BI and other various tools.
  • Weekly preparation of Ad Activity report for Sales/Operations teams.
  • Manage the ordering, distribution, tracking, and lifecycle management of phones and tablets for the entire Brampton site.
  • Support management and distribution of dealer loaders, tickets, incentives, and prizing.
  • Manage product sampling orders for in-house coolers, onsite/offsite events, and charitable donations.
  • Receive, sort, and distribute company swag and promotional items.
  • Support onsite and offsite meetings and events by coordinating catering, room bookings, and audio/visual needs.
  • Assist with planning and execution of onsite facility events.
  • Manage facility communications related to employee milestones and work anniversaries.
  • Manage communications via Brampton Communication email, digital screens and poster boards.
  • Provide mailroom, shipping/receiving, and general office support including supplies and equipment coordination.
  • Support the Brampton Engagement Council (BEC) by creating event sign-ups (Microsoft Forms), posters, email communications, and providing on-site event support.
  • Attend Merchandiser Safety Board meetings, including scheduling, minutes, and attendance tracking.

Qualifications

  • 2–3 years of experience in an office administration or executive assistant role.
  • Strong project coordination and organizational skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Forms).
  • Intermediate knowledge of Margin Minder and Power BI.
  • Strong written and verbal communication skills.
  • Ability to work independently in a fast-paced environment.
  • Excellent customer service, phone, and email etiquette.
  • Knowledge of SAP & SAP Ariba Purchasing software is an asset.
  • Ability to lift up to 40 pounds
